Matrix Gemini Competency module keeps Healthcare manufacturer’s training needs on track case study

Ernest Jackson, a leading UK developer and manufacturer of medicated confectionery and vitamin pastilles, has adopted the Competency Tracker module from Autoscribe’s Matrix Gemini Quality Management Suite as part of its Environmental Health & Safety resources. The Competency Tracker is used to monitor the training status and needs of its 150+ staff to ensure that everyone gets the right training at the right time.

Ernest Jackson, a member of the Mondelez International group and with almost 200 years of experience and expertise, produces a wide range of well-known branded medicated confectionery and vitamin products. It also offers a comprehensive contract manufacturing service. The company has the capability to manufacture pastilles, sugar boilings and paste lozenges and package them in a number of ways. It holds a Pharmaceutical Good Manufacturing Practice professional certification (PGMP). an MHRA medicines license and is also BRC and ISO accredited.

Information is key to all organizations; regulatory compliance around different information sets within a company emphasizes the need for systematic storage, traceability and integrity of data. Ernest Jackson employs more than 150 staff across two sites in the South West of England, covering manufacturing, administration and warehousing. This means that the work force has a diverse range of skill sets and training requirements, depending on their particular role within the company. Training requirements can be as varied as fork lift truck operation, pharmacovigilance and first aid. For example, fork lift and pallet truck operators must have valid certification in order to operate the equipment and training must be repeated at the end of the valid period. In addition, the products manufactured by Ernest Jackson contain active ingredients and so pharmacovigilance training is required for everyone on site. Previously employee skills and training requirements were tracked using a system based on spreadsheets, but a more integrated solution was required that could automate the scheduling of training modules and refresher courses across the many and varied training requirements of the entire workforce and produce reports on completed activities.

Ernest Jackson has its own laboratories which are used for R&D & product testing. When considering the use of a Laboratory Information Management System (L1MS) for the laboratory, the company saw the Matrix Gemini Competency Tracker system from Autoscribe and realized that would provide an ideal solution to its training tracking requirements. Competency Tracker acts as a link between the Environmental Health and Safety and Human Resources departments and allows the matching of the competencies of staff to the specific needs of their role within Ernest Jackson. The software ensures that staff have their skills assessed and offers management insight into skills gained to establish if further training is required. Initial training dates and refresher courses can be automatically scheduled from within the system and staff confirmation recorded. Certificates of competency can be created, distributed and stored for historical record of skills acquired.
