QUALITY ASSURANCE PROGRAM AES is committed to providing the highest quality, scientifically sound and legally defensible analytical data in the industry. This is accomplished by incorporating the elements of our Quality Assurance Program (QAP) into every laboratory process as an intricate component of day to day operations. AES’s Quality Program is constantly monitored, both internally and externally, for compliance with acceptable protocols, procedures and methodologies. Our Quality Assurance Program meets, and often exceeds, requirements of the various programs under which the laboratory is certified, such as NELAP, AIHA, NVLAP and various state programs. Under the guidance of our Quality Assurance Manager, AES has developed a Quality Assurance Manual that outlines our corporate structure, details training programs and provides clear and concise instructions for analytical testing. The QA Manual describes the procedures used to assure quality, accuracy and timeliness in the various analytical steps. These include the use of method blanks, laboratory standards, matrix spike/matrix spike duplicates, surrogates, replicates and monitoring of dates and times of sampling for holding compliance. The QA Manual outlines corrective action procedures and maintaining the Chain-of-Custody Record (COCR), and ensures that samples are kept in secure areas and accessed only by authorized personnel. This system allows AES to provide final reports with a basic level of data validation. All analyses are performed according to corresponding Standard Operating Procedures (SOP’s) developed at the laboratory for each method. SOP’s are regularly reviewed and updated in accordance with our accreditations. AES analyzes Proficiency Test (PT) samples, as is required by our accreditations and state certification programs. In addition to successfully participating in mandatory PT rounds, the laboratory also participates in round robin studies with other private or public organizations. Acquiring and maintaining approval for certification requires a continued evaluation of the laboratory. As a qualified laboratory, AES maintains strict standards to produce quality data. AES holds certifications and/or recognition in the following states. SAMPLING KITS Once samples are collected they should be submitted to the laboratory immediately, either by local or commercial courier, or dropping off at the Atlanta facility, along with a complete chain of custody record (COCR). All sample kits are accepted by AES trained sample receiving technicians, who will process each delivery quickly and accurately in accordance with Standard Operating Procedures. Each shipment will include a thorough inspection of the containers and documents for verification of acceptable sample conditions. Compliance with approved EPA, state programs and NIOSH methods for sample holding times, proper container selection, preservation and analytical requests are verified and documented. Clients are notified immediately if a discrepancy is encountered or if the samples were received in an unacceptable condition. Samples are maintained at the proper temperatures in the sample receiving department until submittal to the appropriate laboratory for analysis. The project COCR is maintained from the time of sample receipt through completion of analysis. Samples are maintained for a period of 30 days after analysis. If longer retention is required, Project Managers must be notified. Samples stored with no analysis performed will be charged a disposal fee. SAMPLE RECEIVING Analytical Environmental Services, Inc. AES, Inc. DATA MANAGEMENT Analytical Environmental Services, Inc., offers numerous Electronic Data Deliverable (EDD) formats for both government and commercial clients. EDDs can be provided in AES’ standard format, or we offer highly customizable formats with relatively short lead times. AES’ technical staff is fully trained in format support and most associated electronic data validation software programs, thus ensuring a high level of data integrity and contract compliance. AES utilizes highly configurable, feature-rich LIMS software that forms the backbone of our information management structure. All core functionality is included in one unified location. Our LIMS system has an established hierarchy of security that is password protected. The LIMS automates most every phase of the laboratory operations, including sample receiving/log-in, holding time, due dates, instrument data capture, quality control, final reports and invoicing. The LIMS is housed on a dedicated server to insure that both in-house users and on-line clients have access to their data on a high performance, real-time system. Through our dedicated secure internet access data link, AESAccess, we can offer clients immediate access 24 hours a day/7days a week to their analytical data. AESAccess offers is a web-based project management tool with readily available features that include: • Complete Status Information From the minute samples are received at AES, clients are able to view sample and test information from a desktop or laptop PC. In addition, status information is available in real time, allowing clients to follow the progress of samples. Clients are able to search projects by project name, sample date, sample name, etc. • Immediate Access to Test Results AESAccess provides complete access to test results once approved by Project Management. AESAccess also allows clients to upload and print Final Reports that are identical to hard-copy reports, saving valuable time and money. AES, Inc. FACILITIES Analytical Environmental Services, Inc., provides analytical testing services from our custom-designed and built environmental laboratory located in Atlanta, Georgia. The 25,000-square foot facility was designed by our laboratory staff in conjunction with a team of architects and builders to accommodate the strict analytical testing requirements of today’s environmental marketplace. The facility has individual laboratories for each area of testing which house prep areas and dedicated HVAC systems to prevent cross contamination. Access to all laboratories is restricted to authorized personnel only. Our facility houses a designated shipping and receiving area, along with a client reception area for sample drop off and pick up. AES’ project management offices are located near sample receiving so that they are available to assist with any client’s needs.
